1. Record the item before it disappears
Start with the item name that you would actually search for: throw pillow. Add the details that separate this piece from a similar one rather than writing a vague note such as “miscellaneous.”
- Record the quantity, size, color, model, or set name when it matters.
- Note the condition or the repair that should happen before reuse.
- Keep a photo of the grouped item and its identifying detail.
2. Give it a physical home
The best location is a dry, protected decor-storage shelf. group by room or season and keep mounting hardware with the decor it serves. If the item is split between containers, record each container instead of pretending one label covers both.
Useful location note: write the exact shelf, zone, or container position you would walk to, not only the room name.
3. Use a label that survives a move
A plain label can start with “Home decor / throw pillow.” Add a number or stable identifier when several containers hold similar items. The label should help a person choose the right container before opening it.
photograph the front, back, dimensions, and hardware or finish detail. Keep private details out of labels that may be visible to other people.
4. Decide when the record should be checked
before redecorating, moving, or a seasonal room change is a practical revisit point. When the item moves, the container changes, or the set is incomplete, update the record immediately while the change is still in front of you.

Connect the record to retrieval
A useful inventory leads from the item name to a container and then to a physical location. ToteTally's product direction is local-first storage inventory: locations, containers, items, photos, notes, search, QR labels, and portable recovery. The public apps remain Coming Soon, so use this page as a planning checklist rather than a current download promise.
