1. Know what a storage QR code actually contains
In a useful local inventory, the QR payload is an opaque container identifier. It points the app toward one existing container record; it is not a readable item list and it is not a public webpage.
A QR code does not replace a physical label. Put the container name, location, or number next to it so a person can identify the bin without a camera or an app.
This distinction matters for storage shelves: the code is a shortcut for retrieval, not a new place where your inventory lives. If the matching record is not present on the scanning device, the code should not reveal its contents.
2. Create the label after the container record exists
Start with the physical truth. Name the container, assign its location, add the items you will search for, and include a note or photo when the arrangement needs explanation. Then generate the QR label from that container record.
- Choose one container and confirm its readable name.
- Check that the location points to the shelf or zone where it will live.
- Generate or export its QR label image.
- Print it or save/share the image for the physical label.
The order prevents orphan labels: a code should have a real container to identify before it goes onto a tote.
3. Print the QR beside words and place both for retrieval
Put the readable title on the aisle-facing side. Add the QR image beside it with enough clear space to scan, and place a second copy on the top when containers are stacked. Keep the code flat, visible, and away from folds, seams, or a handle that could hide part of the pattern.
A small code may be technically scannable but still awkward in a dark basement or a crowded shelf. Test the printed copy before labeling a whole stack. For the words, use the physical guidance in printable storage bin labels.
4. Scan only when the matching inventory is available
A camera scan can open the matching container record when that record is already on the device. A saved QR image can serve the same purpose when the printed label is hard to reach. The scan does not download a remote inventory or turn the code into a web search result.
In ToteTally, the scan flow accepts a printed label or a QR photo. The app checks the opaque identifier against the containers on the device. A restored local inventory or an optional personal sync can provide the matching record; another person’s inventory is not opened by scanning a label. 5. Replace a damaged code deliberately
Replace a label when the code is torn, faded, or no longer scans. Remove the old copy so two different labels do not appear to identify the same bin. Keep the readable name and contents record unchanged unless the container itself changed.
ToteTally generates a new opaque identifier when you replace a damaged label. The old code stops identifying that container, but replacing it does not delete the container or its contents. Test the new print before returning the tote to a stack.
6. Keep QR label sharing separate from inventory access
You may print or share a QR label image as a physical-label artifact. That action does not invite another person into a household inventory, grant member access, or publish the items in a container. The code is useful only where the matching record already exists.
This is why a readable label still matters: it describes the box on the shelf without implying that the code is a web address. ToteTally does not offer household invitations or shared inventory access. Its public app listings are still Coming Soon.
